Frequently asked questions
Why isn't my data syncing across my devices?
Brainlist syncs through your private iCloud/CloudKit database. Make sure each device is signed into the same Apple ID with iCloud (and iCloud Drive) enabled, has an internet connection, and is running iOS 18 or later. Check Settings > [your name] > iCloud on each one. If iCloud is unavailable, Brainlist keeps working but stores data locally on that device only; sync resumes once iCloud is reachable. Allow a little time for changes to propagate.
My reminders and notifications aren't showing up.
Reminders are delivered as local notifications, so notification permission must be granted. Go to Settings > Brainlist > Notifications and turn them on (or use the in-app "Turn on reminders" prompt). Make sure the event or task actually has a reminder set, and that a Focus mode or Do Not Disturb isn't suppressing them. Editing and saving an item reschedules its reminders.
Voice notes and dictation aren't working.
The Brain Dump microphone needs both Microphone and Speech Recognition permission. Enable them in Settings > Brainlist. Dictation is handled by Apple Speech, which may send audio to Apple's servers depending on your device and language. Dictation stops automatically after a pause or after about 60 seconds; tap the mic again to continue.
How do I restore a purchase I already made?
Open the paywall and tap "Restore purchases." You must be signed into the same Apple ID that originally bought Brainlist Pro. Restoring re-checks your entitlement with the App Store and re-enables Pro.
How do I manage or cancel my subscription?
Subscriptions are managed by Apple. Use Settings > [your name] > Subscriptions, the in-app "Manage subscription" link, or apps.apple.com/account/subscriptions. Cancelling stops future renewals and you keep Pro until the end of the current paid period. To stop a renewal, cancel at least 24 hours before the period ends.
The AI suggestions aren't responding, or I don't see AI features.
Server-backed AI (smart times, task breakdowns, companion reminders, and personalised coaching) requires Brainlist Pro with an AI service configured. Free users still get equivalent on-device suggestions automatically. If the AI service is unreachable or you're offline, Brainlist falls back to on-device suggestions on its own. Remember AI outputs are automated and may be imperfect. Review before relying on them.
How do I import my calendar?
Go to Settings > Calendar. Choose "Import from device calendars" to pull in upcoming events from accounts already set up on your iPhone (including Google or Exchange), from today onward. This needs Calendar full-access permission. Or choose "Import .ics file" to import from a file. You can also "Export as .ics" to share your events.
How do I delete my data or remove my account?
Delete items in the app and then permanently remove them from Settings > Data > Recently Deleted. Sign out from Settings. To remove synced copies, delete the data in-app and/or remove Brainlist data from iCloud (Settings > [your name] > iCloud > Manage Storage). For removal of account or identity data held by sign-in or other providers, contact Hopflara via the support email above or the contact on the App Store listing.
I deleted something by accident. Can I get it back?
Yes. Go to Settings > Data > Recently Deleted. Deleted events, tasks, and notes are kept there for 30 days; swipe to restore an item. After 30 days items are permanently removed, and you can also permanently delete sooner from that screen.
How do streaks and the Garden work?
Complete at least one task on a given day to extend your daily streak; complete tasks to earn points and levels, grow your tree through stages, and shift your mascot's mood. If you miss more than a day the streak resets. All of this is calculated on your device.
How do Focus sessions work?
A Focus session shows a full-screen countdown and timer (defaulting to about two minutes, or your task's estimate) and keeps the screen awake. iOS does not let an app lock your phone or stop you from leaving, so if you switch away the session ends early as a gentle nudge. Completing a session awards bonus points.
What are Templates / Macros and how do I use them?
Templates (Macros) let you save a routine as a reusable set of tasks. Create or edit them in Settings > Templates, then run one to add all of its tasks at once (with their attributes and optional scheduling). They're stored locally as a safe data spec, not executable code.
Does Brainlist show ads?
No. Brainlist shows no advertisements, contains no advertising SDK, and does not track you.
A completion sound played even though my phone was on silent. Why?
The task-completion chime is intentionally designed to play even when the ring/silent switch is set to silent, and it mixes with other audio rather than interrupting it. If you'd prefer no sound, turn off "Completion sound" in Settings > Feedback (you can also change the sound there).
Syncing across your devices
Your content is saved on your iPhone with Apple's SwiftData. When you're signed into iCloud, it's mirrored to your private iCloud/CloudKit database and synced across the devices that share your Apple ID. That lives in your own iCloud account, not on Hopflara's servers.
If things aren't matching up, check that on every device you:
- are signed into the same Apple ID, with iCloud and iCloud Drive turned on (
Settings > [your name] > iCloud); - have a working internet connection;
- are running iOS 18 or later.
Give changes a little time to propagate. If iCloud is unavailable, Brainlist keeps working and stores data locally on that device only; syncing resumes automatically once iCloud is reachable again.
Brainlist is iPhone-only and portrait-only: there's no iPad, Mac, Android, or web version.
Notifications & reminders
Reminders for events, tasks, and plant care are delivered as local notifications, so Brainlist needs notification permission to show them. Events can carry multi-stage reminders, for example, 30 minutes and 5 minutes before.
If reminders aren't appearing:
- Turn notifications on in
Settings > Brainlist > Notifications(or tap the in-app "Turn on reminders" prompt). - Make sure the event or task actually has a reminder set.
- Check that a Focus mode or Do Not Disturb isn't silencing them.
- Re-open the item, edit it, and save. That reschedules its reminders.
Voice notes & dictation
Brain Dump lets you capture notes by speaking. Dictation needs both Microphone and Speech Recognition permission, which you can grant in Settings > Brainlist.
- Transcription is handled by Apple Speech, which may send audio to Apple's servers depending on your device and language.
- Dictation stops automatically after a pause or after about 60 seconds. Tap the mic again to keep going.
- Your transcript is stored on your device and synced through iCloud like your other notes.

Brainlist Pro unlocks server-backed AI and plant-care tracking. It's an auto-renewing subscription (with a 7-day free trial) sold and billed through your Apple App Store account.

These are the configured US prices; the App Store shows the exact price for your region and currency. Payment is charged to your Apple ID at confirmation of purchase, and renews automatically for the same period and price unless you cancel at least 24 hours before the period ends.
Manage or cancel
Subscriptions are managed by Apple. Use Settings > [your name] > Subscriptions, the in-app "Manage subscription" link, or apps.apple.com/account/subscriptions. Cancelling stops future renewals. You keep Pro until the end of the current paid period. Because Apple handles billing, Hopflara can't cancel a subscription for you.
Restore purchases
Open the paywall and tap "Restore purchases" while signed into the same Apple ID that bought Brainlist Pro. This re-checks your entitlement with the App Store and re-enables Pro.
Refunds
All purchases are processed by Apple, so refunds are handled by Apple under its policies, not by Hopflara. Request one at reportaproblem.apple.com.
AI features Pro
Brainlist's AI assistance (smart event-time suggestions, instant task breakdowns into subtasks, companion reminders, and personalised coaching tips) is optional and designed to keep your data on your device whenever possible.
How it works
- Server-backed AI requires Brainlist Pro with the AI service enabled. Free users automatically get equivalent on-device suggestions, with nothing leaving the device.
- When AI is on, only the relevant text is sent over an encrypted HTTPS connection to our third-party cloud AI provider, which acts as our processor and returns a suggestion: event titles for smart-time and companion reminders, and the task title and details for a subtask breakdown.
- The personalised coaching tip sends only aggregate stats (your peak hour, weekly completed count, and a short trend word), never your task or event text.
- Inputs are truncated before sending, and no name, email, account ID, or device identifier is attached, so requests aren't tied to your identity.
If AI isn't responding
If you're a free user, you're offline, or the AI service is unreachable, Brainlist falls back to on-device suggestions on its own and sends nothing for AI. To use server-backed AI, make sure you have an active Pro subscription and an internet connection.
AI outputs are automated, may be inaccurate or incomplete, and are not professional advice. Please review them before relying on them. The specific AI provider and model are intentionally kept unbranded.
Importing & exporting your calendar
Open Settings > Calendar to bring events in or send them out.
- Import from device calendars pulls in upcoming events (from today onward) from accounts already set up on your iPhone, including Google or Exchange. This needs Calendar full-access permission.
- Import .ics file brings events in from a calendar file.
- Export as .ics shares your events as a standard calendar file via the iOS share sheet.
Import includes upcoming events only, not your full calendar history.
Managing your data
Your information stays available as long as you keep it, and you're in control of restoring, exporting, and deleting it.
Restore something you deleted
Deleted events, tasks, notes, and plants move to Settings > Data > Recently Deleted, where they're kept for 30 days. Swipe to restore an item, or permanently delete it sooner from that screen. After 30 days, items are removed for good.
Delete your data or account
- Delete items in the app, then permanently remove them from
Settings > Data > Recently Deleted. - To remove synced copies, delete the data in-app and/or remove Brainlist data from iCloud in
Settings > [your name] > iCloud > Manage Storage. - Sign out anytime from Settings.
- For removal of account or identity data held by sign-in providers, email us and we'll help.
Export your data
You can export your events as a standard .ics file from Settings > Calendar using the iOS share sheet.
Garden, streaks & focus
Brainlist turns progress into a calm, encouraging game, all calculated on your device.
Streaks & the Garden
Complete at least one task on a given day to extend your daily streak. Finishing tasks earns points and levels, grows your tree through its stages, and lifts your mascot's mood. If you miss more than a day, the streak resets.
Focus sessions
A Focus session shows a full-screen countdown (about two minutes by default, or your task's estimate) and keeps the screen awake. iOS can't let an app lock your phone or stop you from leaving, so if you switch away the session ends early as a gentle nudge. Finish one to earn bonus points.
Insights, sounds & haptics
On-device insights show your most productive hour, a 7-day completion chart, and a weekly trend. A completion chime and haptics can celebrate finished tasks. Note the chime is designed to play even when your phone is on silent. You can change or turn off the sound in Settings > Feedback.

Quick fixes to try
- Update Brainlist to the latest version and make sure your iPhone runs iOS 18 or later.
- Fully close and re-open the app, or restart your iPhone.
- For sync issues, confirm you're signed in and iCloud is on (same Apple ID on every device).
