Privacy Policy for Brainlist: Plan Your Day

1. Introduction & scope

Brainlist (store name Brainlist: Plan Your Day) is an iPhone productivity and planning app from Hopflara that brings your calendar, tasks, quick notes, and habits into one calm “Greenhouse at dawn” interface. This Privacy Policy describes how the app handles your information. It applies to the Brainlist iOS app (bundle ID com.hopflara.brainlist), which is iPhone-only, portrait-only, and requires iOS 18 or later.

Brainlist is designed to keep your information close to you. Your content is stored on your device using Apple’s SwiftData and, when iCloud is available, mirrored to your own private iCloud/CloudKit database so it syncs across your devices. It is held in your iCloud account, not on Hopflara’s servers. Signing in with Apple is required to use the app. Optional AI assistance is available to Brainlist Pro subscribers and is processed by a third-party cloud AI provider acting as our processor; free users get equivalent on-device suggestions with nothing leaving the device. Subscriptions are sold and billed by Apple, with RevenueCat used only to check whether your subscription is active. Brainlist shows no ads and performs no cross-app tracking.

By using Brainlist, you acknowledge the practices described here. If you do not agree, please do not use the app.

2. Information we collect

Brainlist collects only what it needs to provide the features you use. Most of your information stays on your device and in your private iCloud. The table below summarizes each category of information, with examples, why it is processed, where it is stored, and which third parties (if any) it is shared with for the relevant feature.

What we do not collect

• No third-party analytics or crash-reporting SDK is present in the app’s code.
• Your location is never collected in the background, never stored, and never sent to us. It is read only at the moment you tap “Add travel time” on an event (a Brainlist Pro feature), used once to calculate the journey, and then discarded. Decline the permission and the rest of the app works normally.
• No contacts, photos, camera, or health/fitness data are accessed.
• No personal data is sold to third parties.
• No user identity (name, email, account ID, or device ID) is sent to our third-party cloud AI provider with AI requests.
• No payment-card details are handled or stored by the app. Apple processes all payments.
• No ads are shown and no advertising SDK is present in the app’s code.
• No cross-app tracking occurs, and no advertising identifier is collected. The app shows no App Tracking Transparency prompt because it does not track you.
• The Pro AI coaching feature sends only aggregate productivity stats (a peak hour, a weekly count, a trend word), never your event or task text.
• When AI is off or you are offline, no event/task text is sent anywhere for AI; suggestions are generated on your device.

3. How we use your information

We use the information described above only to operate and improve the app and to provide the features you choose to use, including:

• Run core features: the Today agenda, Calendar, Tasks (List, Matrix, and Wheel), rich task details, events, Brain Dump, Focus sessions, the Garden, Templates / Macros, and (for Pro) plant care.
• Sync your content across your devices through your private iCloud/CloudKit database when iCloud is available.
• Send reminders and notifications you set up for events, tasks, and plant care, delivered as local notifications.
• Calculate insights and gamification on your device: peak productive hour, weekly completion chart and trend, points, levels, daily streaks, the growing tree, and the mascot’s mood.
• Generate optional AI suggestions for Brainlist Pro (smart event times, task breakdowns, companion reminders, and coaching tips), or equivalent on-device suggestions for everyone else.
• Provide and manage your Brainlist Pro subscription and restore your purchases through Apple.
• Sign you in using Sign in with Apple.
• Maintain reliability and respond to support, including diagnosing sync and connectivity issues.

Where a legal basis is required (for example under the EU/UK GDPR), we generally rely on performing our agreement with you (providing the app you requested), your consent (for optional permissions and AI features), and our legitimate interests in keeping the app secure and reliable.

4. Your content & where it is stored

Your content (events, tasks, notes, plants, productivity stats, and settings) is stored on your device using Apple’s SwiftData. When you are signed into iCloud, that data is mirrored to your private iCloud/CloudKit database and synced across the devices that use the same Apple ID. This database is hosted by Apple inside your own iCloud account; it is not stored on Hopflara’s servers.

If iCloud is unavailable (for example, there is no iCloud account, the container is not provisioned, or there is an entitlement mismatch), the app automatically falls back to an on-device, local-only store and remains fully functional offline. Sync resumes when iCloud becomes available again. Cross-device iCloud sync and .ics import/export are available to all signed-in users, not only Brainlist Pro.

Signing in with Apple is required to use the app; the sign-in is handled natively by Apple and Brainlist keeps only your Apple user identifier and display name on your device. Subscriptions are handled by the Apple App Store. AI requests are sent to our third-party cloud AI provider only when AI features are enabled (Pro); otherwise processing stays on your device. Calendar import reads upcoming events from your device’s calendars (today onward, including accounts you have linked in iOS such as Google or Exchange), and you can export your events as an .ics file through the iOS share sheet.

5. AI features

Brainlist’s AI features are optional and are designed to work without sending your data off the device whenever possible. Server-backed AI requires a Brainlist Pro subscription with a configured AI service. We intentionally keep the specific AI provider and model unbranded to users; we refer to it here as our third-party cloud AI provider, which acts as our data processor.

When AI is enabled, only the minimum text needed for the requested suggestion is sent over an encrypted HTTPS connection, and the provider returns a suggestion:

• Smart-time and companion-reminder suggestions: the event title.
• Subtask breakdown: the task title and details.
• Personalised coaching tip: only aggregate productivity stats (your peak hour, weekly completed count, and a short trend word), never your task or event text.

Inputs are truncated before sending (titles to 200 characters, details to 1000 characters), and no name, email, account ID, or device identifier is attached, so AI requests are not tied to your identity. Requests are sent to a Cloudflare Worker operated by Hopflara, where they are processed by Cloudflare Workers AI (currently the Kimi K2.6 model) acting as our processor — used only to provide the feature and return the result to you. The request bodies are not stored in an application database, although Cloudflare-side and platform logging or retention may apply and is governed by Cloudflare.

If you are a free user, are offline, or the AI service is unreachable, the app automatically falls back to equivalent on-device suggestions (keyword heuristics and locally computed tips) and no text is transmitted for AI.

AI outputs are automated, may be inaccurate or incomplete, and are not professional advice. Please review them before relying on them.

6. Device permissions

Brainlist asks for iOS permissions only to power specific features, and you can grant or revoke them at any time in iOS Settings. Declining a permission disables the related feature but leaves the rest of the app working.

• Microphone: capture voice notes (dictation) in Brain Dump.
• Speech Recognition: transcribe your dictation into note text using Apple Speech.
• Calendars (Full Access): import events from your device calendars so they appear alongside your tasks.
• Location (While Using the App): only when you tap “Add travel time” on an event (Brainlist Pro), to calculate how long the journey takes and remind you when to leave. Asked the first time you use that feature; decline and everything else still works.
• Notifications: send local reminders for events, tasks, and plant care.
• iCloud / CloudKit: sync your data across your devices via your signed-in iCloud account (granted through iCloud; no separate in-app prompt).
• Siri & Shortcuts: add a note to Brainlist by voice without opening the app.

7. Third-party services

Brainlist relies on a small number of service providers to deliver sign-in, sync, payments, dictation, notifications, and optional AI. Each provider receives only the data needed for the feature you use, and handles that data under its own privacy policy.

Apple

Used for: Sign in with Apple (login), App Store / StoreKit (subscriptions and restore), iCloud / CloudKit (private cross-device sync), Speech (dictation), push notifications (APNs), and Maps (place search, plus geocoding and directions for the Pro travel-time estimate).

Data involved: your name at sign-in (Sign in with Apple — your email address is not requested); your content synced to your own private iCloud/CloudKit database; subscription, purchase, and restore data; dictation audio for transcription; and notification device tokens. Apple Privacy Policy.

Cloudflare (AI processing)

Used for: processing the text you submit through AI features (smart times, companion reminders, task breakdowns, and coaching tips) and returning suggestions. Requests go to a Cloudflare Worker operated by Hopflara and are processed by Cloudflare Workers AI (currently the Kimi K2.6 model), acting as our processor.

Data involved: event and task titles, task details, and aggregate productivity stats (peak hour, weekly completed count, trend), only when AI features are enabled (Pro). No name, email, account ID, or device identifier is included. Cloudflare Privacy Policy.

RevenueCat (subscription management)

Used for: checking whether your Brainlist Pro subscription is active, restoring purchases across your devices, and showing the in-app subscription management screen. RevenueCat sits between the app and Apple’s App Store; it never handles payments or card details, which remain entirely with Apple.

Data involved: your purchase and subscription history (which plan, when it started, whether it is active), and an anonymous identifier for your installation of the app — Apple’s vendor identifier and an app user ID generated by RevenueCat. No name, email address, or content from your events, tasks or notes is sent. RevenueCat Privacy Policy.

8. No advertising or tracking

Brainlist does not show ads. It contains no advertising SDK, does not collect the advertising identifier (IDFA), does not use SKAdNetwork, and performs no cross-app or cross-site tracking. Because the app does not track you, it shows no App Tracking Transparency prompt.

Your information is never sold or shared for advertising purposes.

9. Subscriptions & purchases

Brainlist Pro is an auto-renewing subscription sold and billed through your Apple App Store account (Apple StoreKit). Payment is charged to your Apple ID at confirmation of purchase. Prices shown in the app come from the App Store for your region; the figures below are the configured US prices and may vary by storefront and currency.

Brainlist Pro unlocks server-backed AI (smart event-time suggestions, instant task breakdowns, companion reminders, and personalised coaching tips) and plant care with watering and feeding reminders. Each plan includes a 7-day free trial; if you don’t cancel before it ends, it converts to a paid subscription at the price above.

Auto-renewal. Subscriptions renew automatically for the same period and price unless you cancel at least 24 hours before the end of the current period. Your Apple ID is charged for renewal within 24 hours before each period ends.

Manage or cancel. Use Settings > [your name] > Subscriptions on your device, the in-app ‘Manage subscription’ link, or apps.apple.com/account/subscriptions. Cancelling stops future renewals; you keep Pro until the end of the current paid period. Hopflara cannot cancel a subscription for you because billing is handled by Apple.

Refunds. All purchases are processed by Apple, so refunds are handled by Apple under Apple’s policies, not by Hopflara. Request a refund at reportaproblem.apple.com. The app never sees or stores your payment-card details.

How your subscription status is checked. Brainlist uses RevenueCat to confirm whether your subscription is active and to restore purchases on your other devices. RevenueCat receives your purchase history and an anonymous identifier for your installation; it does not receive your name, email address, or any of your events, tasks or notes, and it never handles payment. See Third-party services above.

10. Data retention & deletion

Your data remains available as long as you keep it. When you delete an event, task, note, or plant, it is moved to Recently Deleted (a soft delete) and kept for 30 days so you can restore it; after 30 days it is permanently removed, or you can permanently delete it sooner from the Trash (Settings > Data > Recently Deleted).

Deleting your account. You can delete your account and everything in it at any time, from inside the app: Settings > Account > Delete account. This permanently removes your events, tasks, notes, plants, reminders and Garden progress from the device and from your private iCloud database, on every device signed into the same iCloud account, and signs you out. It is immediate and cannot be undone — deleted items do not pass through Recently Deleted, and no copy is retained. Because Hopflara never held your content, there is nothing further for us to erase.

Deleting your account does not cancel a paid subscription, because billing belongs to Apple. Cancel it separately as described under Subscriptions & purchases.

Data synced to iCloud stays in your private iCloud/CloudKit database until you delete it in the app or remove it from your iCloud account; data also remains on your device until deleted. Our third-party cloud AI provider does not store AI request bodies in its own database, but platform/provider logging and retention may apply to submitted text and is governed by that provider as our processor.

Apple (authentication, iCloud, purchases, dictation) retains the data it processes under its own privacy policy.

To delete your data or remove account/identity data: delete items in the app and permanently remove them from Recently Deleted, sign out from Settings, and remove synced copies from iCloud (Settings > [your name] > iCloud > Manage Storage). For removal of identity data held by sign-in or other providers, contact Hopflara via the support contact on the App Store listing.

11. Security

Network requests for AI features are made over encrypted HTTPS connections. Data synced to iCloud is stored in your private iCloud/CloudKit database, protected by your Apple ID and Apple’s infrastructure; data on your device is protected by iOS device security. Payments are handled entirely by Apple, so the app never sees or stores your payment-card details, and sign-in is delegated to Apple (Sign in with Apple) so the app never sees or stores a password. AI requests carry no account, name, email, or device identifier.

No security method is perfect. Please help protect your information by keeping your device passcode and Apple ID secure.

12. Children’s privacy

Brainlist is a general-audience productivity app and is not directed to children under 13 (or the minimum age required in your country, such as 16 in parts of the EU). Hopflara does not knowingly collect personal information from children below that age. If you believe a child has provided personal information, please contact Hopflara through the support contact on the app’s App Store listing so it can be removed.

Sign-in is required, and account creation should be completed by someone of the appropriate age; an adult should set up and manage the app for younger users where permitted.

13. Your rights & choices

You stay in control of your information. Depending on where you live, some of these may be legal rights; all of them are choices Brainlist gives you:

• Access and export your data: export your events as a standard .ics file via the iOS share sheet.
• Correct or update your information: edit any event, task, note, or plant directly in the app.
• Delete your data: move items to Recently Deleted and permanently delete them, and remove synced data from your iCloud account (Settings > [your name] > iCloud > Manage Storage).
• Opt out of AI: AI is optional; using the free/offline experience keeps all processing on your device with nothing sent to the AI provider.
• Control device permissions: grant or revoke microphone, speech recognition, calendar, and notification access anytime in iOS Settings.
• Manage your subscription and restore purchases through your Apple ID.
• Sign out at any time from Settings.
• Make a legal request: where applicable by law, request access to or deletion of personal data held by Hopflara or its processors via the support contact on the App Store listing.

14. International users

Brainlist relies on global service providers (Apple and our third-party cloud AI provider) that may process and store data in countries other than the one where you live, including the United States. When you use a feature that involves one of these providers, your information may be transferred to and processed in those locations under the safeguards in their respective privacy policies.

Your privacy rights may vary by region (for example, under the EU/UK GDPR or the California Consumer Privacy Act). Where such laws apply, you can exercise your applicable rights using the choices in this policy or by contacting Hopflara through the support contact on the App Store listing.

15. Changes to this policy

We may update this Privacy Policy from time to time to reflect changes to the app, our service providers, or legal requirements. When we do, we will revise the “Last updated” date at the top of this page. If we make a material change, we will take reasonable steps to provide additional notice where appropriate.

The current version is effective as of September 13, 2026. Your continued use of Brainlist after an update takes effect means you accept the revised policy. If you do not agree with a change, please stop using the app and, if you wish, delete your data as described above.
